1.2. Enable Multi-Factor Authentication (MFA)

Papillion La Vista Community Schools requires multi-factor authentication (MFA) for PLCS accounts.

Multi-factor authentication enhances the security of your account by using a secondary device to verify your identity. This prevents anyone but you from accessing your account, even if they know your password.

This process will help you set up your account with this added layer of security.

Users who are enrolled are not prompted for MFA verification while on the PLCS district network.  They are only prompted when attempting to access their PLCS account outside of the district.

Please follow these steps to enable MFA on your account.  PLCS utilizes a Cisco product called Duo for our multi-factor service.

**IMPORTANT: If you ever receive a Duo notification that is not you attempting to login, deny the request and change your password immediately.

  1. Visit https://go.plcschools.org/mfasetup or select the "Multifactor Setup" icon in MyApps on a computer (not your phone) and sign in if necessary
  2. Select "Start Setup" on the welcome screen
  3. Select the device type you are setting up Duo on your device (selecting mobile phone is recommended)
  4. Enter and confirm your telephone number if you select the mobile phone option
  5. Select the type of phone you are setting up Duo on
  6. Download the Duo app for your phone and open it
  7. Make sure you allow Duo Mobile to send notifications on your phone when it prompts for notification permissions.
  8. The app will prompt you to connect an account for Duo or to press the plus button (+) to add an account if you already use Duo for another service.  Simply scan the QR code on the screen to link your phone's Duo app to your PLCS account.
  9. Congratulations!  Duo MFA is now setup on your account!

Logging in from outside of the PLCS network will send a push notification to your phone for you to quickly approve the login.  If you have a wearable device (watch) you can even approve it from that device without picking up your phone!

Here is an example of what a push notification looks like.  On iPhone, you can also press and hold on the notification to quickly accept or deny without unlocking your device.

For additional details, open the Duo Mobile app to see the full request:

If you are in a location without cellular or WiFi service, you can always open the Duo application and tap the arrow to expand your PLCS account on your mobile device and use the one-time passcode for your account to authenticate with.

**IMPORTANT: If you ever receive a Duo notification that is not you attempting to login, deny the request and change your password immediately.

For additional details on how to use the Duo Mobile app, please visit the Duo Guide https://guide.duo.com/ or submit a helpdesk request and a member of our team would be happy to assist!

1.3. International Travel and Technology Access

Are you traveling Internationally over spring break or summer vacation?

In order to best protect all PLCS accounts (staff and students), access to accounts from outside the United States, Canada, and Mexico is disabled by default.  Doing so helps to cut down on and prevent account compromises and keeps district systems and data secure.  If you plan to travel internationally (outside of Canada and Mexico) and would like to access your PLCS account while abroad, please submit a helpdesk request to the technology team for assistance.  You must arrange for your account to have the international settings adjusted before departing for your travel.

Duo multifactor enrollment is required for international account access.  The technology team will adjust your account to allow international access with login approval via the Duo multifactor platform.  If you are traveling and will not have cellular service, Duo authentication can work without cellular service or a WiFi connection or a keychain fob can be utilized.  However, you do need to take your cellular device or keychain fob with you while traveling.

Please feel free to share this information with students.  You can start the process by emailing helpdesk@plcschools.org for assistance with preparing your account for travel.  Requests must be submitted from your district account.

Don’t want to check email or have access to your PLCS information while abroad?  No problem!  No action is necessary and you can pick right back up where you left off upon your return.

2. Substitute Information

2.1. Long Term Absence for Certified Staff

To: Certified Staff with Long-Term Absences
From: District Technology Department and Human Resources

Long-Term Absence Technology Procedures for Certified Staff

As a certified PLCS employee, you are assigned a District laptop. This computer will follow you if you change buildings or grade level assignments.  Starting in the 2022-23 school year, if you enter into a long-term absence, you no longer need to leave your District computer for the sub who will fill your role while you are away from the District.  To ensure devices are available for long-term substitutes (LTS), the District has purchased a small fleet of Chromebooks for long-term substitute teachers.  This allows certified staff members the option to utilize their device while on leave.  If you do not want to take your machine while on leave, it can be checked in with your building administrator while you are absent.

The following steps will help walk you through the PLCS long-term substitute setup process:

Long-Term Substitute Laptop

Human Resources will notify the Technology Department in advance of your planned absence and notate who is anticipated to be subbing for you.

A Chromebook laptop will be prepared and checked out to the long-term substitute teacher.  This device will be delivered to the building’s main office either by a member of the technology department or via inter-District mail.

Upon your return, the Chromebook laptop should be returned to the technology department.  If it has not already been turned in by the time you return, please deliver it to the main office at your building to facilitate the return process.

SIMS Classroom/Google Classroom

The day prior to the start of your leave, the Technology Department will set-up the long-term sub in SIMS Classroom & Google Classroom.  A confirmation email will be sent to you, the long-term sub, the principal and secretary.

Returning from Leave

As your return date approaches, you will be CC’d on an email to Human Resources and your building administrator to confirm your return date.  We realize that you may not be checking email while on leave, which is why we confirm with Human Resources and your administrator.  This procedure is in place so that we can start the process of setting your SIMS Classroom and Google Classroom accounts back up for your return.

Our goal is to make transitioning both in and out of a long term leave smooth and efficient for both you and your substitute teacher.  Thank you in advance for your cooperation with this process!  Please feel free to reach out if you have any questions or concerns (helpdesk@plcschools.org or 402-537-6299).
