Printing

1. PaperCut Printing Management System

1.1. Releasing a print job

On the copier, either touch your badge to the reader or enter your username and password using the on-screen keyboard.  If you scan your badge and copier shows the error "Invalid logon", please submit a helpdesk ticket with a copy of the numbers on the back of your card so we can reassign the badge to your account.

 

To release a print job, touch the Print Release button.  You will then be shown a list of waiting jobs.

Check the box next to the jobs you wish to release, and press Print at the bottom.

Touch the logout symbol at the top right once you are done releasing your jobs.  Any jobs in progress printing will finish.

1.2. Accessing device functions

You will then be taken to the home screen of the copier. Here will list all available device functions. Fax is now located under PaperCut Scanning. It can be done from any copier.

Touch the logout button at the top once you are done.  Any jobs in progress printing will finish.

1.3. Adding a desktop printer

Windows

In the search box next to the start menu, type \\printing and press enter.

A list of printers will open.  Double-click on the printer you would like to add.

The printer is now added to your computer, and you may select it in your application.

 

Mac

Open Self Service from the dock or the Applications folder.

Choose Printers on the left menu.

Click Install under the name of the printer you would like to add.

The printer is now added to your computer, and you may select it in your application.

1.4. Print Shop Requests

See below on how to submit a job to the Print Shop.


  1. Open your Internet browser. Go to https://print.plcschools.org/.
  2. If prompted, sign in with your PLCS username (firstname.lastname) and password.
  3. On the left-hand side of the page, click on Print Shop Requests.

  4. Under “Choose a Product” click on “Papillion” and select "Start Order"

  5. Drag and drop or click “Attach file” to browse for the file you would like to print. Continue through to provide all necessary information for your print job.
  6. When you have entered all your information, click “Submit.”

1.5. Web Print

See directions below for how to utilize this feature to send jobs via the web to the PLCS printer fleet. 

  1. Open your Internet browser. Go to https://printing.plcschools.org.
  2. If prompted, sign in with your PLCS username (firstname.lastname) and password.
  3. On the left-hand side of the page, click on Web Print.
  4. Click on “Submit Job.”
  5. Select your printer (either black and white or color.) Then click “Print Options and Account Selection.”
  6. Enter the number of copies you need. (The maximum number is 100.) Then click “Upload Documents.”
  7. Drag and drop the file to print, or click “Upload from computer” to browse for a file. You can only Web Print PDF or image files. Once you have uploaded your file, click “Upload & Complete.”
  8. Now simply go to any district copier, scan your badge and release your job to print!

1.6. Printing from Office 365 on Chromebook

This directions are for users using a Chromebook as their device.  If you are using a district PC or Mac, you may print from Office 365 as normal.


1. Click File on the toolbar.

2. Click Print on on the left.

3. Click Print(Print this document) on the right.


4.  The Destination field should show PLCS Mobile Follow Me Black and White or PLCS Mobile Follow Me Color. If not, click the drop down arrow to show more options. Click See more if you still do not see the correct printer.

5. If you click See More, this window will appear and you can select the correct printer.

6. After you see the correct printer in the Destination field, Click Print

7. This login screen will appear. Enter your district user name and password and click Sign in and print. If Remember me is checked, you will not have to enter this information the next time you print from this computer. 

8. Your print job is now ready to be released from the printer. 













1.7. Troubleshooting Issues with Advanced Features

This document is for users using a district-owned Mac computer.  If you are using a district-owned PC, contact the Helpdesk for assistance.  Advanced printer features are not available to Chromebook users.


If you are having troubles using the advanced printer features available on our MFP fleet or your documents print in a reverse order, you can follow the steps below to check that the driver is properly selected on your computer.

First, open System Preferences.

Next, click on Printers & Scanners.

In the printer list on the left, make sure Follow Me Black and White is highlighted.  Looking on the right, check what is shown after Kind:

If your Kind starts with "SHARP MX", contact the Helpdesk for further troubleshooting.  These directions will not solve your problem.

If your Kind starts with "Generic Printer" or "Generic PPD", click the minus button under the printer list, and confirm deletion of the printer.

Next, restart your computer.  When your computer restarts, the printer will automatically reinstall with the correct set of drivers.

You should now be able to print using the advanced MFP features.

1.8. Mobile Printing

You can now print from personal mobile devices using the PaperCut system.  Follow the directions below:


iOS

Ensure you are connected to PLCS BYOD or PLCS Secure (for district devices).

Go to a document or other item you wish to print.

Click the sharing button.

Select "Print".


Select "Choose Printer".


Select either "PLCS Mobile Follow Me Black and White" or "PLCS Mobile Follow Me Color".


Select "Print" at the top.

You may be prompted for authentication.  Enter your district username (first.last or student ID) and password.


Your document can now be retrieved from any MFP.


1.9. Print jobs not showing up at printer (Mac)

If you are printing from a Mac and the jobs are not showing up at the printer, please follow these troubleshooting steps.

 

1.  Make sure you are connected to the PLCS Secure wireless network.

     

2.  Click Jamf Connect  icon on the top toolbar.   

     

     Click  "Reconnect..." and type in your district password.

     

     

3.  Make sure printers are not Paused. Open System Preferences.

     

     Click Printers & Scanners

     

     Click either the "Follow You Queue (Color or Monchrome)" to open that Printer Queue.

     

     Click the Printer Queue Button.

     

Click the Play button in the upper right corner of the print queue

 

These steps should fix the problem. If not, please submit a Help Desk ticket. 

 

 

 

 

 

 

 

1.10. Printing from Adobe Acrobat Reader

If you have downloaded a PDF file and it is opening in the chrome browser you will see something similar to the picture below in the URL bar 

 

To fix this issue you will need to install Adobe Acrobat:

Go to Self Service app 

Install Adobe Acrobat

To open your PDF, go to the file location and press ctrl + click on the item you want to open, then click open with Adobe Acrobat Reader

Adobe Acrobat will ask if you want to make Adobe reader the defualt viewer, Click yes

 

1.11. eFax - Sending & Receiving

Sending Fax

1.  Fill out Fax cover sheet

2. Sign on to the copier as normal.

3. Choose "PaperCut Scanning" on the Home menu.

4. Select "Fax" in the Scan menu.

5. Click the plus to add a phone number as a recipient.

6. Enter the details of the recipient.  Only the phone number is mandatory.

7. Touch Start to begin scanning and send the fax once scanning is complete.

 

Receiving Fax

1.  Faxes coming to the building will go to the building secretary as a PDF. 

2.  Fax can then be forwarded to users as needed.

3. General

3.1. Printing on labels or custom tray from macOS

Create the labels document and select Print.

In the print dialog, expand Printer Options.

Then, click the I symbol next to Printer Features

Next, change the top dropdown list to Paper Source.  Then, you can select the Paper Tray and Paper Source Type.

3.2. Windows Default Printer

In the search bar type "Printers & scanners" and click "Printers and scanners icon" in the results window.

A new window will open with a list of installed printers, click the printer you would like to be the default.

In the upper right corner of the selected printer, click the "Set as default" button

You now have a default printer!!!

Note: If your program isn't recognizing the new default printer, close the program and reopen.

4. Printing at Home

4.1. Add Printer to Mac

If your printer connects via a USB cable, you should be able to connect it to your Mac and wait about a minute and the printer should show up as available in your applications.  If you do not see your printer after connecting it and waiting, your printer may not support Mac computers.

If you are trying to print over the network, your printer must support Apple AirPrint.  Printers requiring custom software or drivers are not supported.


Start by opening System Preferences


    Click on the Printers & Scanners section

    Inside Printers & Scanners, click the + symbol to add a new printer.

    In the list, select your printer, then click Add.  If you do not see your printer in the list, it may not support AirPrint.  Do not select PLCS Mobile Follow Me Black and White or PLCS Mobile Follow Me Color.

    Your printer should now appear in the main list.  This means the printer is now installed and ready for use.

    You should be able to select your printer in the application you are trying to print from.
